Accountants, like all humans, make mistakes during journalizing, posting, totaling, or balancing. Locating and correcting these errors ensures books present a true and fair view of business operations.
Accounting Errors & Location Techniques
Core Concept
Accounting Errors are mistakes committed by persons responsible for recording and maintaining accounts during the accounting process. They occur in journal entries, posting to ledger, totaling, or balancing.
Trial Balance agreement is a preliminary check. If the Trial Balance does not agree, errors definitely exist. However, even if it agrees, undetected errors may still remain!
Steps to Locate Errors (When TB Disagrees)
- Check columnar totals of the Trial Balance.
- Verify ledger balances are copied to correct sides (Debit vs. Credit).
- Calculate exact difference figure: Check if an account of that amount was omitted, or if half the amount was put on the wrong side.
- Recheck totals of Special Purpose Books (Purchases, Sales, Cash Books).
- Check balancing of all ledger accounts.
- Perform line-by-line posting check from Journal/Subsidiary books to Ledger.

Classification of Errors by Nature
Transaction completely or partially omitted from books.
- Complete: Credit purchase omitted from Purchase Book. (TB Agrees)
- Partial: Discount allowed not posted to Discount A/c. (TB Disagrees)
Mistakes committed while recording or posting transactions.
- Wrong Book/Amount: Sale of ₹4,200 recorded as ₹2,400.
- Undercasting/Overcasting: Totaling errors in subsidiary books.
- Wrong Posting: Posting to wrong side or wrong account.
Violation of fundamental accounting principles (Capital vs. Revenue).
- Capital as Revenue: Machinery carriage debited to Carriage A/c.
- Revenue as Capital: Building repairs debited to Building A/c.
- TB Still Agrees!
Multiple errors that offset each other's monetary effect.
- Example: Sohan A/c short debited by ₹1,000, and Mohan A/c excess debited by ₹1,000.
- Debit excess compensates credit short. (TB Agrees)
Classification by Impact: One-Sided vs Two-Sided Errors
One-Sided Errors
Affects Trial BalanceErrors that affect only one side of one ledger account. The corresponding second account in the transaction is posted correctly.
Textbook Examples:
• Sales Day Book overcast by ₹1,000 (Only Sales A/c overstated, debtors correctly debited).
• Cash ₹2,500 received from Ishita wrongly debited to her account (Only Ishita's A/c wrong).
Rectification Route: Rectified directly before TB, or using Suspense Account after TB.
Two-Sided Errors
TB Still AgreesErrors that affect two or more separate ledger accounts simultaneously by equal debit and credit amounts.
Textbook Examples:
• Machine purchased for ₹5,000 entered in Purchases Book (Purchases A/c debited instead of Machinery A/c).
• Cash ₹15,000 received from Govind credited to Har Govind.
Rectification Route: Standard Journal Entry debiting correct account & crediting wrong account.
Rectification Methods (Before & After Trial Balance)
I. Before Preparing Trial Balance
If detected immediately, neatly cross out wrong entry and write correct figure with initials. Erasing/overwriting is strictly forbidden!
Make direct entry on the required side of the affected ledger account with an explanatory statement.
Credit Purchase A/c with note: "By Purchases Book overcast for July 2014 - ₹8,000".
II. After Preparing Trial Balance (Suspense A/c)
When Trial Balance fails to agree, the difference is placed in a temporary Suspense Account.
- TB Debit > Credit → Suspense A/c is Credited.
- TB Credit > Debit → Suspense A/c is Debited.
- One-sided errors are rectified through Suspense A/c.
- Suspense Account automatically disappears once all errors are rectified.
